Conference Venue Finding - Confirmations



The final stage of our Conference Venue Finding service is a formal confirmation document between you and the venue which sets out the requirements of your event in detail. In line with our CSR policy, all confirmations are sent to the venue and a copy to you electronically via a secure server.

This document includes:
  • Full contact details for your company including your contact details
  • Full venue address details and key venue staff contact details
  • Event name, dates, timings and format
  • Full meeting and syndicate room details including room names
  • Room set up advising maximum capacities
  • AV requirements
  • All negotiated rates, and special added value items negotiated
  • Minimum numbers
  • All accommodation requirements with requests for room upgrades for the organisers
  • All catering requirements, confirming set up and locations
Once we’ve confirmed the venue, we request that the venue send you a contract directly which formally confirms the details. We even request a copy is sent to us, so that we can check the details before you sign on the dotted line!

From this point onwards, the venue liaise directly with you to confirm final details. However, we’re always there if you need any further assistance with event management, and don't forget, we can also co-ordinate and confirm all other aspects of your event with our free events services.
