IT Systems Overview
Right Location have used database IT systems to complement our venue knowledge for many years, and so in December 2007, when a revolutionary new system came to market, we were delighted to be part of the initial user group forum and embrace this advanced technological solution. This system is now fully integrated with our working practise. We are delighted with the capabilities of this robust, progressive and industry-led system and are confident that it meets and exceeds our clients’ expectations.
Key features of the system- A detailed client database with a facility for multiple location, departmental and parent company reporting.
- The client database also allows the input of specific accounting and billing information, such as bill back, transaction fees or rebate system.
- The venue finder is prompted with client-specific supporting information when each new booking is entered.
- A client data capture facility requests budget codes, cost centre and purchase order numbers when a new booking is entered.
- Prices can be entered including or excluding VAT. The system calculates the alternative automatically.
- Rack rates can be entered in addition to negotiated rates and the proposal shows savings achieved.
- Full colour, system-generated, password protected proposals are sent electronically based on information fed from the central system database.
- A venue module allows the creation of multiple meeting rooms with separate programme details, arrival dates, attendees, layouts and equipment requirements for each room.
- A guest details module allows the input of a limitless number of guests with specific room details and room basis information for each guest. This module also includes a notes section for each guest and specific room confirmation number location.
- A powerful reporting module creates clear, concise and accurate management information. Reports can be segmented by an extensive number of varying categories.

All staff at Right Location have worked in the industry for many years in a wide range of professions both within agencies and venues. Our first-hand venue knowledge is complimented by a database of over 18,000 venues.
